1. Who we are

RileyHost provides an AI assistant used by real estate agents and real estate companies. We hold two different roles depending on whose data it is.

For our own users' account data we are the controller. For lead data, the real estate company is the controller and we act only as their processor.

2. What we process on behalf of real estate companies

Lead names and contact details, conversation content, qualification data, and consent records.

3. Sub-processors

Meta Platforms for WhatsApp delivery, Telegram, Amazon Web Services in Canada (Central) for hosting, Anthropic for language understanding, and Cloudflare for encrypted backups.

We do not permit any model provider to train on data transmitted through the service.

4. Retention

Lead data is kept while the real estate company is assisting that person and for the period afterwards required by law. Consent records are immutable and are never edited or deleted.

5. Staff access to content

RileyHost staff have no permanent ability to read conversation content. Access requires a time-boxed grant with a written reason, recorded in an audit log and notified to the account owner. The requester cannot suppress that notification.

6. Anonymised data

We may create anonymised copies of conversations to measure accuracy. Identifiers are irreversibly removed first, including from inside message text. Real estate companies may opt out in writing.

7. Your rights

You may request a copy of your information, ask for it to be corrected, or ask for it to be deleted. If you are a lead, contact the real estate company you enquired with; they are the controller.
